Le poste est situé dans la Représentation de la FAO à Madagascar.
Objectif principal
L’assistant(e) de bureau effectue des opérations administratives courantes et des fonctions d’appui administratif et contribue au bon déroulement des activités de l’unité de travail.
Supervision reçue/exercée
L’assistant(e) de bureau rend compte à l’Assistant Représentant (Administration). Il ou elle agit en toute indépendance s’agissant des questions courantes et consulte le ou la superviseur(se) sur les questions et les procédures nouvelles et/ou plus complexes. La supervision dont il ou elle fait l’objet consiste en conseils techniques et en instructions concernant les procédures à suivre, ainsi qu’en une formation sur le tas.
Relations de travail
L’assistant(e) de bureau interagit avec un ensemble de collègues au sein de l’unité administrative. Ces interactions consistent en échanges d’informations courantes et en apport de services d’appui administratif standard.
Fonctions et résultats essentiels
• Rédiger, taper à la machine et mettre en forme la correspondance courante ; mettre en forme des tableaux, rapports, présentations, publications et autres documents.
• Recevoir, filtrer et rediriger les appels téléphoniques et les visiteurs ; répondre aux demandes courantes, internes et externes, et/ou les renvoyer vers les unités/contacts compétents.
• Saisir, extraire, structurer et mettre à jour des informations et données provenant de diverses sources (par exemple Intranet, Internet, archives, etc.); présenter les résultats dans un format standard.
• Créer et tenir des archives et des systèmes de référence selon les procédures standards.
• Lancer, vérifier et suivre un ensemble d’opérations administratives dans les systèmes informatisés relatifs aux finances, aux voyages et aux ressources humaines.
• Apporter un appui à l’organisation et à la gestion de réunions, ateliers et manifestations (par exemple prendre les dispositions voulues concernant les salles de réunion et autres installations).
• Aider à l’organisation des voyages \: transport, logistique, hébergement et documents.
• Assurer la disponibilité des fournitures de bureau et veiller au bon entretien du matériel de bureau.
• S’acquitter d’autres tâches connexes selon les besoins.

L’assistant(e) de bureau participe au sein d’une équipe à la fourniture de services de bureau et de services d’appui administratif. Ses actions influent sur l’unité de travail dans son ensemble.
CONDITIONS MINIMALES À REMPLIR – Les candidats seront sélectionnés en fonction des critères suivants \:
Formation \: Éducation de niveau de fin d’études secondaires.
Expérience \: Deux ans d’expérience significative dans le travail d’appui administratif.
Connaissances linguistiques \: Connaissance pratique (niveau C) du français.
Compétences informatiques \: Connaissance des applications MS Office, de l’Internet et du matériel bureautique.

• Connaissance avancée de l’Excel.
• L’expérience avec les Nations Unies sera un atout.
• La connaissance de l’anglais (niveau B) sera un atout.
